Inviting users to your workspace and assigning roles

Workspace Owners are responsible for inviting members to a workspace and upholding the data use agreements for all approved datasets.

Adding users to a workspace

Workspace Owners can invite a new user to their workspace following the below steps.

Select the Edit icon for the workspace to which the new user should be added to.

Choose the Users tab and select Invite User to Workspace from the right side.

Individual users then can be added by inputting their email and selecting which role you'd like to assign. Choose Invite to send an email.

If you have a User role, you cannot invite or remove users.


Removing users from a workspace

To remove users, select the Edit icon for the workspace from which the user is to be removed.

Choose the Users tab.

Select the trash can icon for the user that you'd like to remove and confirm you'd like to remove them. Don't forget to select the checkbox.


Changing the role of an existing workspace member

If you need to change the access level of a workspace member, select the Edit icon for the workspace from which the user is to be edited.

Choose the Users tab.

Select the Edit icon by the user you'd like to edit.

Select the new role from the drop-down and Change.

About the workspace audit

The Audit Logs tab is a privileged platform feature for Workspace Owners only which provides a record of all workspace activity. 

Clicking on the Audit Logs tab displays a table offering user tracking across resource access, files and database table uploads. The table details a list of workspace events that have occurred, e.g. when users have accessed the workspace, added notes or deleted files.

Filtering audit list

The audit logs can be filtered to a specific date range. One can also filter based on a text search, for example a search for 'Airlock' will display all audit events involving an Airlock.


Downloading audit data

Workspace Owners can download the audit data for offline analysis or reporting using the Export Audit button located in the right-hand sidebar. Clicking the button will export the table in a CSV format.
